Transcript excerpt

  1. Answering

Carver Heating and Air, thanks for calling. What’s going on tonight?

  2. Caller

Our furnace keeps shutting off. It’s 58 in here and my mom’s staying with us. She’s 81.

  3. Answering

That’s too cold. I’ll get this to our on-call technician right now. First, do you smell gas anywhere, or is a carbon monoxide alarm going off?

  4. Caller

    No, nothing like that.

  5. Answering

Good. Can I get your name and the best number to reach you?

  6. Caller

    Dana Whitfield. 555-014-2290.

  7. Answering

Thanks, Dana. And the address where the furnace is?

  8. Caller

    418 Larkspur Lane.

  9. Answering

Got it. I’m reaching Marcus, our on-call tech, now. He’ll call you back at 555-014-2290. Is there anything else he should know before he calls?

“Answering” is Get Missed Jobs, answering as Carver Heating & Air, a fictional company. Caller details are fictional.

How it works

Nothing changes for your customers. They call the same number they always have.

  1. 1

    Forward calls from your number

You choose when: after hours, when every line is busy, or when nobody answers after a set number of rings. Your number stays the same.

  2. 2

    Answered on the first ring

Callers hear your company name. The call is handled the way your office would: what’s wrong, where, and how to reach them.

  3. 3

Emergencies go to your on-call tech

If the call matches your emergency rules, your on-call tech is called right away with the details. No waiting for morning.

  4. 4

    You get the summary

Every call, emergency or not, ends with a lead summary sent to you by [text and email].

Forwarding is set on your existing phone line. You can turn it off at any time.

When it can’t wait until morning

You decide what counts as an emergency during setup. Those calls go to a person on your team right away, in the order you set.

Emergencies HVAC companies usually set

  • No heat when it’s near or below freezing outside
  • No cooling in extreme heat, especially with elderly, infant or medically vulnerable people in the home
  • Water leaking from the unit or condensate line into the house
  • Commercial accounts you’ve flagged: refrigeration, server rooms, restaurants

Who gets called, in order

  1. 1

    On-call tech

Called right away with the caller’s name, address and problem.

  2. 2

    Backup tech

Called if the on-call tech doesn’t answer within [X] minutes.

  3. 3

    You

Called if the backup doesn’t answer within [X] minutes.

Every step shows up in your lead summary: who was called, when, and who picked up.

Safety first. Gas smell or a carbon monoxide alarm: the caller is told to leave the house and call 911 or the gas company first. Then your on-call tech is notified.

What we don’t do

  • No long contracts

The pilot is short and after that it’s month to month. Cancel anytime.

  • No new phone number

Customers keep calling the number on your trucks. Forwarding sends us the calls you choose, and you can switch it off yourself.

  • No changes without your OK

We don’t touch your phone system, your forwarding or your on-call list without your approval.

Start with a pilot

Run it on your own calls first. If it isn’t catching jobs you’d otherwise miss, cancel.

Setup
[PILOT_PRICE], one time
Pilot
[14–30]-day pilot on your real calls
After the pilot
[MONTHLY_PRICE] per month
Contract
None. Cancel anytime.

Questions owners ask

Does this replace my staff?

No. It answers the calls your team can’t get to: after hours, when the lines are busy, when everyone is out on jobs. When someone in your office picks up, nothing changes.

Do I have to change my phone number?

No. Customers keep calling the number on your trucks and your website. Calls reach us only in the situations you choose, through call forwarding on the phone line you already have.

What if the AI can’t answer something?

It doesn’t guess. It takes down the question and the caller’s details, tells them someone from your team will follow up, and flags it in your lead summary.

What happens with emergencies?

Calls that match your emergency rules go straight to your on-call tech. If they don’t answer within [X] minutes, we call your backup tech, then you. You get a summary either way.

How long does setup take?

[SETUP_TIME]. We go through your services, service area, greeting and emergency rules with you on a call, then test forwarding together before any real calls come through.

Is there a contract?

No. The pilot is [14–30]-day. After that it’s month to month at [MONTHLY_PRICE], and you can cancel anytime.

Are calls recorded?

Yes, so you can hear exactly what was said. Callers hear a recording notice at the start of the call. Recordings are kept for [RETENTION PERIOD] and are only available to your account. See our privacy policy for details.

Can it book maintenance visits and tune-ups?

It takes down the request, the address and preferred times, and sends it to you in the lead summary. Whether it books straight into your calendar depends on the software you use. [CONFIRM: supported scheduling tools]
